New Fellow Reminders

Please see the checklist for new Public Health Laboratory Fellows. If you have any questions, please contact us at [email protected]

Orientation

Orientation is housed in APHL’s Learning Center. Fellows are granted access on their first official day in the program, regardless of whether it is their first day physically in the laboratory.

Plan of Action

Complete your Plan of Action form with your mentor within 30 days of starting your fellowship. This plan of action will be reviewed by members of the Fellowships Team.

Payroll

Fellows receive enrollment emails from our payroll system, ADP, within three business days of their start date. Payroll needs to be completed by the stated deadline to avoid receiving your stipend late.

To me, the APHL fellowship was a great bridge between school and professional life. It allows you to explore different areas of public health while also gaining experience to help propel you into the workforce.
– Demetria Yoder, Fellow at the New Jersey Division of Public Health and Environmental Laboratories

Reports and Forms

Check-in Reports

Fellows are required to complete a 30-day and 60-day check-in report. The primary purpose is to monitor the progress of the start of the fellowship and ensure the fellow is onboarding appropriately within their host site.

The check-in report will be sent to fellows by the Fellowship Team.

Quarterly Reports

Quarterly reports will be due every 90 days based on the fellows' individual fellowship timeline. Fellows will receive an email to complete the assignment.

Call for Photos

We are eager for photos and videos representing your Career Pathways experience! We are asking for photos and/or videos of Public Health Laboratory Fellowship participants as well as mentors on the job. That could be in the laboratory working hard or outside enjoying the company of your colleagues. APHL will use some of the pictures for promotional materials and social media. Any photos that represent your experience are welcome! Upload the files directly using this Dropbox link. You can find some photo guidelines, tips and the authorization form here.

APHL Annual Conference

All first term fellows are expected to attend the APHL Annual Conference.

APHL will sponsor the travel for each first term fellow, including

  • airfare
  • hotel
  • some mileage
  • conference registration
  • per diem for meals not provided during the meeting
  • transportation to and from the airport.

First-term fellows will not need to use their allocated professional development funds for travel expenses. More details will be provided by the Fellowship Team prior to the Annual Conference each year.

Please only follow directions outlined in communication sent by the Fellowship Team. Contact us if you have any questions!

The only exception is that if you have submitted a poster abstract, please follow any poster abstract and presentation emails received from the APHL Conference & Events team.

Second term fellows

Second term fellows may choose to attend the APHL Annual Conference again but will use their allocated professional development funds to do so instead of being fully sponsored by APHL like in their first term.

  • Second term fellows will need to submit a professional development request
  • The APHL Fellowship Team will disburse funds through the fellow's stipend payment after the request is approved
  • Airfare will be booked through the APHL Travel Site. The flight cost will be deducted from the allocated professional development funds
  • Similar to other conferences attended by fellows as a professional development opportunity, second term fellows will need to book their own arrangements and use the disbursed funds for related expenses
*Note: the APHL Annual Conference is held annually in a different location each year.

Reminders for your attendance are as follows:

  • Do not register on your own. Please attend only one of the registration meetings; meeting invites have been sent and occur on March 5 or March 19.
  • If you have already attended a registration meeting, you do not have to attend another.
  • If you are driving or flying, please submit your travel request via the instructions emailed on February 16.
  • Do not book a hotel room. APHL will book your room and your hotel reservation will be emailed to you once the conference draws closer.
  • Updates regarding the annual conference are available in the dropdown, ‘2026 APHL Annual Conference Updates’ on our FAQ page.

Traveling can be stressful, but there are many ways to mentally prepare for your trip in the meantime! If this is your first time flying, take a look at this article for tips on a smooth experience at the airport.

We also want to share a few tips to help you maximize your time in the skies!

  1. Before you go, be sure to check the luggage policy at your airline of choice. While some allow you to check multiple bags for free, others require you to pay for a carry-on.
  2. Did you know you can bring your own snacks when you fly? While liquids are not allowed in your carry-on luggage, you can pack your own meals and snacks and save money at the airport! A lot of airports have free water stations too, so pack an empty bottle in your carry-on, then look for the water stations, and hydrate.
  3. Consider packing chewing gum! Changes in cabin pressure during takeoff and landing can cause discomfort in the ears. To alleviate this discomfort, passengers can chew gum, yawn, or swallow.

Poster Presentation Information and Resources

Printing posters will not be a covered cost and will be out of pocket, though you can submit a professional development fund request.

Tip: To help keep costs down, try to first print at a local or university library that offer poster printing.
